Campsite booking software that understands more than dates

Campsites and fisheries need more than a generic room calendar. Caravan length, awnings, electric hook-up, party size, pitch type, fishing access and site rules can all affect whether a booking is suitable. Black Pastel builds direct booking systems around those real operational details.

Help every guest find the right available pitch

A compact campervan, a long touring caravan and a family tent may each need a different pitch. Asking the right questions before showing availability helps prevent unsuitable reservations and awkward changes later.

The journey can use unit type, length, awning, electric requirements, party size and selected facilities to show appropriate options or make a suitable allocation behind the scenes.

Relevant booking questions Collect the practical details your team normally has to check manually.
Suitable choices only Guide guests towards pitches that work for their unit, party and requested facilities.

Turn booking details into a practical pitch plan

A useful system should do more than record a reservation. It can use the guest’s answers and your pitch rules to identify a suitable space, while keeping your team in control of the final plan.

1

Booking details

Collect unit type, dimensions, awning, electric, vehicles, party size and other relevant needs.

2

Suitability rules

Match those answers against pitch length, surface, capacity, facilities and site restrictions.

3

Best available pitch

Offer or assign a pitch that is both free for the dates and suitable for the booking supplied.

4

Manual control

Let a manager review, change or override an allocation when operational judgement is needed.

Build campsite and fishing extras into the journey

The booking is the right time to collect the choices that affect a guest’s stay and your preparation. Customers can add what they need while prices and availability are still clear.

Options can be priced per booking, person, night or vehicle, then shown in the total, booking record and confirmation.

Why direct bookings matter

More direct bookings without abandoning every listing

Direct bookings keep your site information, suitability questions and customer journey together. Guests can understand the pitches, facilities and fishing options before committing.

You do not necessarily have to leave every external listing behind. A stronger direct route can sit alongside selected channels while encouraging returning and referred guests to book with you.

Own the customer journey Keep your pitch information, rules, extras and communication in one coherent route.
Reduce unsuitable requests Ask practical questions before the guest reaches payment or confirmation.

Booking integrations

Work alongside Pitchup and other booking sources

Many campsites use Pitchup or other directories alongside direct bookings, phone enquiries and returning guests. Where a service provides a suitable feed, export or supported integration option, it can be reviewed as part of the wider availability workflow.

Calendar feeds can help reduce double-booking risk, while manual blocks and booking-source labels create a clearer view for your team. Integration capability varies, so the available route is always checked against your actual platform and account.

Calendar feeds Supported iCal or other available feeds can help external reservations and direct availability work together.
Imports and manual blocks Imports, source labels and blocked dates can be planned around the channels your site actually uses.

Common questions

Before you choose a campsite or fishery booking system

Can the system allocate suitable pitches automatically?

Yes. Suitability rules can use details such as accommodation type, unit length, awning, electric hook-up and party size to offer or allocate an appropriate available pitch. Your team can retain the ability to review or override it.

What details can be used for pitch suitability?

Rules can consider unit type and length, tent size, awnings, electric requirements, surface type, party size, vehicles, pets and any site-specific restrictions you need to capture.

Can guests pay a deposit when booking?

Yes. The journey can take a deposit or full payment through your connected Stripe account. Remaining balance handling can also be planned around your booking terms.

Can it manage tents, touring caravans and motorhomes?

Yes. A single system can provide different questions and rules for tents, touring caravans, campervans and motorhomes rather than treating every stay in the same way.

Can fishing permits and campsite extras be added?

Yes. Extras can include electric hook-up, awnings, pets, extra vehicles, early arrival, fishing tickets, bait, equipment hire and other options offered by your site.

Can it work alongside Pitchup and other booking sources?

Often, yes. Available feeds, imports and supported integration options can be reviewed so direct availability works alongside external sources. Capability depends on what each platform provides; see our booking integrations page.

Can blocked dates or external bookings be reflected?

Yes. Manual blocks can close pitches, and supported external feeds or imports can be reviewed. The precise level of synchronisation depends on the source system.

Can a manager change an allocated pitch?

Yes. Automatic allocation does not have to remove human judgement. A private admin area can let authorised staff review and change assignments when needed.

What can the back office show?

It can bring together upcoming arrivals, pitch assignments, guest and unit details, payments, balances, extras, booking sources, notes and manual changes in one place.

Is there a real campsite and fishery example?

Yes. Our Woodlands Fishery case study shows how suitability questions, pitch allocation, payments and back-office tools can support a real campsite and fishery operation.

Do you also build booking systems for other accommodation businesses?

Yes. Our broader accommodation booking systems cover glamping sites, B&Bs, guest houses, hostels and other stay-based businesses.
